Introduction

Welcome to InboxRobot (“we”, “us”, or “our”). These General Terms and Conditions (“Terms”) govern your access to and use of our services, including AI-assisted email classification through 2342.ai with GDPR-compliant defaults.

By using our services, you agree to these Terms. If you do not agree with any part of these Terms, please discontinue use.

Payment Terms

We accept credit card payments exclusively via Stripe.com.

Services

Core Features

  • InboxRobot: Automated email processing, forwarding, and spam filtering via IMAP/SMTP integration
  • Team Management: Multi-user organizations with role-based access control
  • Analytics Dashboard: Email processing statistics and usage metrics
  • GDPR Tools: Data export and account deletion capabilities

Service Limitations

  • Email processing limits based on subscription plan (monthly quotas)
  • Mail account limits per organization
  • Email history retention: 6-24 months depending on plan
  • Maximum 1000 activity log entries retained
  • API rate limiting may apply

AI Services

  • GDPR-compliant by default: Email classification runs through 2342.ai as our controlled German AI platform layer
  • No user-side downgrade switch: Users do not choose a weaker processing mode inside InboxRobot
  • You must use the service lawfully and respect the intended email-processing workflow

Intellectual Property Rights

All content provided by us is protected by copyright and other IP rights.

User Data and Content

Your Data

  • You retain ownership of all data you provide (emails, settings, etc.)
  • Email content is processed transiently, not permanently stored
  • Metadata (sender, subject, timestamps) is retained for service operation
  • Profile data, team memberships, and settings are stored securely

Data Processing

  • We act as data processor for your email content
  • Third-party AI providers may process data according to their terms
  • You grant us necessary licenses to provide the service
  • You are responsible for having rights to process emails you configure

Prohibited Uses

You must comply with all applicable laws. Any illegal, harmful, or non-compliant use of InboxRobot or its AI-assisted classification features is prohibited.

Account Management and Termination

Account Creation

  • Valid email address required for registration
  • You must provide accurate information
  • One account per person (multiple team memberships allowed)
  • You are responsible for maintaining account security

Subscription Management

  • Monthly or annual billing cycles via Stripe
  • Automatic renewal unless cancelled
  • Plan changes take effect next billing cycle
  • No refunds for partial periods

Termination

  • By You: Cancel subscription anytime through account settings
  • By Us: We may suspend/terminate for:
    • Terms violation
    • Non-payment
    • Abusive behavior
    • Excessive resource usage
  • Data Deletion: Soft delete on user request, hard delete for organizations
  • Export Rights: Request data export before termination

Changes to the Terms

We reserve the right to modify these Terms at any time. Material changes will be communicated to you.

Applicable Law and Jurisdiction

These Terms are governed by the laws of the European Union and, where relevant, German law for localized transactions. Disputes are subject to the jurisdiction of Nuremberg, Germany.

Limitation of Liability

Our liability is limited to the legally permissible extent. We are not responsible for losses caused by automated classification decisions where the service was configured or used outside its intended workflow.

Indemnification

You agree to indemnify us from any third-party claims arising from your use of our services, including AI-assisted classification features, if you breach these Terms or applicable law.

Privacy

Personal data is handled in accordance with our Privacy Policy.
